Challenge
What the client came with
Runway is a salon at Vysoká 34 in Bratislava that has offered hairdressing, cosmetics, manicure, pedicure and waxing since 2017. We built its website with online booking, client accounts, vouchers and credit earlier. What remained was the part a website does not cover: the daily running of the salon.
Off the shelf booking systems can take a booking, but they cannot adapt to how a salon actually works. How shifts are split, who performs which treatment, what happens on a late cancellation, how an appointment is closed at the till and how loyalty is rewarded. In a rented system those rules are locked at the supplier.
The second thing was loyalty. The salon did not want a discount card but a program that rewards what actually helps it: regularity and reliability. Such a program needs rules of its own and has to be tunable to whatever makes economic sense.
Solution
What we did and why
One app, two points of view. Once signed in, the app behaves differently for a client and for the salon team. A client sees her appointments, her points and her rewards. A stylist sees her day, her revenue and her clients. The owner sees the whole salon.
A daily schedule instead of paper. Staff are columns, time runs vertically and appointments are coloured blocks with the name, the treatment, the client tier and the price. Outside working hours the area is hatched, lunches and blocks are marked and a red line shows the current time. There is also a weekly and a monthly view with utilisation and shifts.
Move an appointment by dragging it. An appointment is held and dragged to another time or to another stylist. While dragging, the app shows the target time and checks for a clash, for working hours and for whether that stylist performs the treatment at all.
Closing an appointment and payment. The payment method, the top up on treatments priced „from“ and an immediate view of how many points the client gained. From this come revenue by day, week, month and year, the average bill, utilisation, the share of each category and the team ranking.
Runway Club, a loyalty program built to measure. Points are earned for a visit, for spending with a multiplier by tier, for a run of visits at an agreed rhythm, for trying a new category and for a referral. Cancelling more than 48 hours ahead costs nothing, cancelling later costs points and a no show without notice also lowers the reliability score. The four tiers are counted from the points of the last twelve months, so it is a live status, not a title for life.
The salon sets the rules. Points per visit, points per euro, bonuses, penalties and the tier thresholds are all changed in the administration. On every change the salon immediately sees how the clients would fall into the tiers.
One calculation for the whole app. The same loyalty engine runs behind the „you will earn for this visit“ preview, behind closing an appointment and behind the warning about how many points a cancellation will cost. The preview can never promise something other than what is finally credited.
A price list and rules shared with the website. Five categories and 62 treatments with a price and a duration, the same booking rules as on rnw.sk and a step of 15 minutes. The offer of the month is set once and appears both on the website and in the app. Utilisation is counted from real shifts, not from opening hours, so a holiday or a shortened shift also shows up in the free slots on offer.
The web first, the phone second. We tune the features in the web application, where they are quick to test and fix. Only what is finished then reaches the iOS version. That avoids the most common mistake in custom apps, where half a feature is carried into the phone and then tuned on live customers.
